जब एक साथ कई parcels भेजने हों, तो पहले से तैयार dispatch sheet और समान packing standards काम को व्यवस्थित कर सकते हैं। यह guide छोटे sellers और छोटे offices के लिए है; किसी bulk discount या special contract की गारंटी नहीं देती।
Order-wise dispatch sheet बनाएँ
हर shipment के लिए order/reference number, recipient name, पूरा पता, PIN Code, item description, packed weight और parcel dimensions दर्ज करें। हर parcel को अलग पहचान दें ताकि label गलत पैकेट पर न लगे।
Customer data केवल काम के लिए जरूरी लोगों तक सीमित रखें और spreadsheet को public link से साझा न करें।
Packing station व्यवस्थित करें
किताब, कपड़े और fragile वस्तुओं के लिए अलग packing checklist रखें। हर parcel की outer packaging बंद करने से पहले item और address को order sheet से मिलाएँ। Restricted items की official list जाँचें।
कमजोर या पहले से क्षतिग्रस्त carton दोबारा इस्तेमाल न करें। सभी parcels का final weight packed condition में दर्ज करें।
Booking counter पर service verify करें
कुल parcels की संख्या, destination और वजन बताकर पूछें कि कौन-सी booking प्रक्रिया लागू होगी। एक ही service सभी आकारों और destinations के लिए उपलब्ध हो, ऐसा न मानें। COD या अन्य add-on चाहिए तो eligibility और charges पहले पूछें।
Counter से मिली receipt पर प्रत्येक consignment number को सही order/reference number से map करें।
Dispatch के बाद reconciliation
हर tracking number customer/order record से मिलाएँ। Booked, in-transit, delivered, returned और enquiry-needed जैसे internal status रखें। हफ्ते में एक बार mismatch और unresolved shipment जाँचें।
Customer को केवल receipt से verified tracking number दें; अनुमानित delivery date को guarantee की तरह न लिखें।
